Intimacy Directors and Coordinators, Inc. (IDC) is the leading membership and training organization for intimacy professionals working in the performing arts and entertainment industries. Their mission is to establish ethical, equitable, and artistic intimacy choreography practices while supporting the professional development of their members.

Event Overview

The 2025 Intimacy Professional Summit was the inaugural national summit produced for and by intimacy professionals working across film, TV, theater, and live performance. This multi-day, hybrid event brought together over 350 in-person and virtual attendees, offering curated workshops, demonstrations, panels, and community programming focused on ethics, safety, artistry, and advocacy in the field. Hosted in Minneapolis, MN, the summit served as a critical milestone celebrating the first step in intimacy professional convenings in the United States.

Objectives

  • Develop and execute a professional, meaningful summit centering IDC’s values of care, consent, and collaboration.
  • Showcase the leadership and depth of the intimacy profession across disciplines.
  • Bring intimacy professionals from across the globe together to elevate the profession, to expand the impact and to solidify this role in the entertainment industry landscape.
  • Elevating conversations about safety and consent and antiharassment in an industry that is the most experienced harassment industry than any other industry.
  • Present an industry-leading training conference, professional conference, a place where they can come to hone their skills, to collaborate.

The Challenge

As with any inaugural event of this scale, the Intimacy Professional Summit required adaptability and close collaboration across many moving parts. The dual goals of honoring the intimacy field’s legacy while launching a new annual gathering meant the vision, format, and audience needs continued to evolve. With a hybrid structure, multi-venue coordination, and a dynamic roster of speakers and programs, 3 Pillars Co. was brought in to help develop the operational foundation and ensure a thoughtful, well-executed experience across platforms.

The Opportunity

This event presented a unique opportunity to support a fast-growing field with care, precision, and creative strategy. Our team worked closely with IDC to build an adaptable planning system, set clear structures, and curate a powerful experience centered on connection, artistry, and professionalism. From developing a centralized project management hub in Notion, to shaping engaging registration and brand touchpoints, to seamlessly managing logistics across four partner venues, 3 Pillars Co. helped bring IDC’s vision to life and lay the groundwork for future summits.

The Impact

Through this partnership, the Prevent Cancer Foundation benefited from streamlined operations, enhanced attendee experiences, and successful conference outcomes. The Dialogue Conferences not only facilitated professional networking and knowledge sharing but also showcased significant scientific advancements in cancer prevention and support services, setting a solid foundation for future events.

  • 350+ Total Registrations across all access types (in-person, virtual, VIP, industry)
  • 82% Hotel Block Pickup Rate – an excellent outcome for an inaugural event 
  • 60+ Speakers across 3 days of programming
  • Strong participation in newly introduced Listening Circles
  • A thorough hybrid attendee experience, with virtual and onsite support
  • Successful city and venue search across 5+ cities and contract negotiations
  • Positive attendee feedback on program content, merchandise, and registration experience
  • Post-event content (recordings + materials) available for six months to all attendees
